Instructions for Establishing a Research Support Position

1. Review the List of Research Support Jobs Classified as SPA. Select the job that seems to most closely reflect the work you envision being performed in your grant/project and select the link to that job.

2. A generic description (template) for the job you selected will appear. Please read the description to make sure that it is representative of the duties and level of responsibilities you require. If the description is a good match then complete the description which then becomes the position description for your grant; otherwise go back to the List of Research Support Jobs Classified as SPA and select another job.  Please note, you must install Acrobat Reader to view the Position Description Forms.  Learn more about Acrobat Reader and working with PDF forms

3. When you receive your grant award and wish to recruit for your support position you must 1) establish the position in the Human Resource Information System and 2) establish its funding in the Financial Resources system PRIOR to employment. In order to accomplish this:

a. Complete a Budget Request to Establish or Modify a Position (BREMP) form and send it to the Budget Office.  The Budget Office will first ensure that the Contracts and Grants Office reviews the form for budget approval.  If verbal approval of the award has been given, but the official award notification document has not been received, departments with alternative funding sources may file an Assumption of Risk form with Sponsored Programs in order to expedite the establishment of the position.  The Budget Office will then assign a position number which allows the Human Resources Department to establish the position in the State and local Human Resources Information Systems. The completed form will be forwarded to the Human Resources Department.

b. Submit the following 3 forms to Human Resources Development Offices:

i. The position description (which must have the department chair’s signature and the Dean’s signature) to Human Resources Development

ii. An organizational chart  that  reflects the proposed new research position

iii. A completed and signed ADA checklist (checklist for Determining the General Physical Requirements, Physical Acuities, Visual Acuity and Working Conditions)

4.     The Human Resource Department will approve and establishment the new position and send your Department a confirmation letter. You are now ready to begin the Selection/Recruitment process. You will need to submit a Recruitment Request for a Vacant or New SPA Position to the Employment Office in Human Resources.
